How the Task Center works
A task is one piece of work, with one owner and one deadline. If it isn’t in here, nobody is on the hook for it.
Tickets and tasks are different
A ticket is a request you send to another department. A task is work someone has agreed to finish by a date.
A ticket can turn into a task. A task never turns into a ticket.
What you see when you open it
The small line under the heading tells you your view.
- Staff — your department’s tasks, plus anything assigned to you or created by you.
- Lead — the same list, and you can edit anything in your department.
- Manager / admin — every department.
Everyone in a department sees that department’s tasks, not just their own. That’s deliberate. Nobody should have to ask what the team is working on.
Making a task
- Click + New task.
- Fill in the fields below. Title and due date are required.
- Click Create task. The person you assigned it to gets an email straight away.

Staff self-assign only. If work needs to go to somebody else, ask your lead to create it.
Statuses and due dates
Change it from the dropdown on the card. There’s no Save button — it saves the moment you pick.
Changing a status doesn’t email anyone. If somebody is waiting on you, tell them.
The due date locks the task
This is the part that catches people.
On or before the due date — the assignee and the creator can edit the task and move its status.
After the due date passes — they can’t. Only a lead in that department, or a manager, can touch it. The card says so when it happens.
A missed deadline should get a conversation, not a quiet edit. If you need one reopened, ask your lead.
Overdue tasks sort to the top of the list with a red OVERDUE flag.
The overdue email
Once a task is past due, a daily sweep emails the assignee and the department inbox. It goes out once, not every day.

The page only offers you what you’re actually allowed to do, so if a control isn’t there, that’s the reason.
Deleting
If a task is already In progress, mark it Done or leave it alone. Don’t ask for a delete to make a miss disappear.
Filters, tickets and privacy
Filters
- Active is the default and hides Done tasks. Switch to All to see everything.
- Search covers the title, description, department, assignee, creator, priority and status.
- Filters only change what’s on your screen. They never change what you’re allowed to see.
Tasks that came from a ticket
On a ticket in the Ticket Center, a lead or manager can click Create task. It opens the Task Center with the title and the patient reference already filled in, and the finished task carries a From ticket → badge.
After that the two are separate records. Marking the task Done does not close the ticket, and closing the ticket does not finish the task. Close both.
